The engagement is behind you and what stands in front of you is a list that looks endless. This page is that list: every task by phase, with a name beside it. The month-by-month story lives in our wedding planning timeline; this one is the working document you tick off, written for a wedding here, with the registry office, the кум and кума, and the family guest lists we have.

What should you do in the first two weeks after the engagement?

Book nothing in the first two weeks. Agree three things with your partner: a rough guest count, a total budget and who pays for what. Only then pick two or three possible months. Every other decision rests on those numbers, and without them you will change your mind three times, usually after a deposit.

What does the full checklist look like phase by phase?

Planning fits into eight phases, from the engagement to the thank-you notes. Each phase has tasks that must close before the next starts, its own owner and its own payment deadline. The table below gives the whole picture; the lists underneath are the tasks you tick off.

9–12 months before

Dates close here and the largest sums are committed. The venue sets the biggest line in the budget, so choose it first — comparing offers honestly is covered in our guide on choosing a wedding venue.

• View at least three venues on the same Saturday
• Book the venue and sign a contract with an exact guest count
• Confirm the date with the registry office and the church
• Book the photographer and videographer
• Book the music: band, orchestra or DJ
• Agree who will be кум and who will be кума

6–9 months before

Now come the things with long lead times, where a delay cannot be fixed with money.

• Choose and order the dress, suit and shoes
• Agree the decor and flowers for the hall and the car
• Book hair and make-up and schedule a trial
• Build the final guest list with addresses and phone numbers
• Design and order the invitations
• Open a wedding website with the practical details for guests

3–6 months before

The tasting and measuring phase, when add-ons missing from the first quote appear. Keep your cost table open next to the budget plan.

• Go to the tasting and confirm the menu
• Order the cake and agree delivery to the hall
• Book transport for the couple and a bus for guests
• First fitting for the dress and the suit
• Check the exact document list with your registry office
• Agree who receives the gifts and envelopes on the day

1–3 months before

From here the work is coordination, not choice. If a vendor is still missing, close that choice in the vendor directory during this phase.

• Send the invitations six to eight weeks ahead
• Track who has confirmed attendance
• File the marriage application at the registry office
• Build the seating plan and leave room for changes
• Final fitting for the dress and the suit
• Agree the day-of timeline with every vendor

Which documents are needed for the civil ceremony?

The registry office usually asks for valid ID from both partners, birth certificates, confirmation that there is no legal impediment to the marriage, and the details of two witnesses. The application is filed about a month before the date and a fee applies. The exact list differs by municipality, so check with your local registry office.

• Valid ID card or passport for both partners
• Birth certificate for both partners

If one partner is a foreign citizen

The procedure is the same, with more paperwork and a longer runway. Foreign documents usually need an apostille and a certified court translation.

• Ask for the list in writing, three to four months ahead
• Obtain a certificate of no impediment from that country
• Obtain the apostille in the country that issued the document
• Arrange a certified court translator for every translation

Who owns what: couple, кум and кума, parents?

A task without a name never gets done. Split the list between three owners: the couple carries decisions and contracts, the кум and кума carry coordination and guests, the parents carry the relatives' list and their share of the budget. Every task should have initials beside it within three months.

The couple

• Attending and signing as witnesses at the registry office
• The agreed share of costs, where such an agreement exists

• Accommodation and transport for out-of-town relatives

When are vendor deposits due and how large are they?

Deposits are spread across the whole year, not saved for the end. Typically 10 to 30 percent is paid at signing, with the balance in one or two instalments before the day. Venues ask a fixed amount to hold the date, photographers a percentage, dressmakers half at order. Always ask for a contract.

• Venue: a fixed amount at booking, usually 30,000–60,000 MKD (500–1,000 EUR), a second instalment two to three months out, balance on the day itself
• Photographer and videographer: 20–30 percent at signing, balance before or on the day
• Music: 20–30 percent at booking, balance at the event
• Dress: 30–50 percent at order, balance at collection; fittings are often billed separately
• Decor and flowers: a deposit when the concept is confirmed, balance a week before
• Cake and transport: 10–20 percent, balance on the delivery day

What has to happen in the final month and the final week?

The final month is for confirmations, the final week only for envelopes and printouts. In those thirty days you do not change vendors, add decor or rework the menu. Anything new now costs more and carries a risk nobody has time to fix.

The final month

• File the documents and confirm the ceremony slot
• Collect the last confirmations with a phone call
• Give the restaurant the final guest count by the agreed deadline
• Finish the seating plan and print it
• Send the day-of timeline to every vendor

The final week

• Confirm every vendor by message, with the exact address
• Prepare envelopes with the remaining payments, labelled by name
• Print the timeline and the seating plan in two copies
• Hand the vendor contacts to the кум or the coordinator
• Pack a bag for the day: documents, plasters, water, a snack

Who holds the checklist on the day itself?

Not the couple. On the day the list belongs to the кум, the кума or a paid coordinator, and the couple does not answer the phone. Print two copies of the timeline with names and numbers, hand them to two people, and name one person who resolves surprises.

What is left to finish after the wedding?

A dozen small tasks remain that are easy to forget and that cost money or family goodwill. Return the rentals, pay the balances, gather the photos and send thank-yous in the first month. If you are changing your surname, start with the certificate, because the other documents follow in order.
